How It Works: Retrieval-Augmented Generation

The technology behind this is called Retrieval-Augmented Generation (RAG). It’s the reason your assistant can answer questions accurately from your content instead of hallucinating generic responses.

Here’s what’s happening under the hood.

Step 1: Ingestion - Teaching the System Your Content

Before anyone can ask a question, your documents need to be processed and indexed. This happens in four stages:

  1. Chunking: Your source documents (PDFs, Confluence pages, Notion docs, Markdown files, etc.) are split into smaller, semantically meaningful segments. Chunk size matters - too large and retrieval becomes imprecise; too small and you lose context.

  2. Embedding: Each chunk is passed through an embedding model (e.g., OpenAI text-embedding-3-small or a self-hosted alternative). This converts the text into a high-dimensional vector - a list of numbers that encodes the meaning of the content, not just the keywords.

  3. Storage: Those vectors are stored in a vector database (we typically use pgvector on RDS or a managed service like Pinecone depending on scale). Each vector is stored alongside the original text chunk and metadata like source URL, document title, and last-updated timestamp.

  4. Re-ingestion: Content goes stale. We include an automated re-ingestion pipeline so your assistant stays current when docs are updated.

Step 2: Retrieval - Finding What’s Relevant

When a user asks a question, the system doesn’t search by keyword. Instead:

  1. The question is embedded using the same model used during ingestion - producing a vector representation of the intent behind the query.

  2. The vector database performs a similarity search (typically cosine similarity or approximate nearest neighbor) against all stored chunks, returning the top-K most semantically relevant passages.

  3. Optionally, a re-ranking step scores the retrieved chunks against the query more precisely before passing them forward.

This is why the assistant can answer “what’s our refund policy?” even if the relevant doc says “money-back guarantee” - the meaning is captured, not just the words.

Step 3: Generation - Producing the Answer

The retrieved chunks are assembled into a context window and passed to a large language model (LLM) - typically GPT-4o or Claude - alongside the user’s question. The prompt looks roughly like:

Here are relevant excerpts from our documentation: [chunks]. Based only on this content, answer the following question: [user question].

The LLM synthesizes a coherent, grounded response from the retrieved context. Crucially, constraining the model to only use provided context dramatically reduces hallucination and keeps answers traceable to your source material.
